New Hirers

Every Hirer will be subject to an identification verification process in order to reduce the risk of loss. All information submitted as part of the verification and application process will be treated in the strictest confidence. It is necessary for the KCCUK to be satisfied as to the good intentions of new Hirers where potentially expensive camera equipment is being borrowed. It is not the intention of the KCCUK to intrude into a Hirer’s privacy.


Web-Booking

Any bookings must be placed a minimum of forty-eight hours before the hire – and are subject to availability.


Identity Verification

The KCCUK requires a valid UK telephone number and two forms of ID to prove identity and address.

From the hirer, the KCCUK requires:

  1. For all hires, the KCCUK requires a valid UK telephone number from the Hirer.
  2. One ID from ‘Section A’ and one from ‘Section B’
  • Section A- (has to be a colour copy)
    A colour copy of photo identification in the form of a valid UK/EU passport or UK driving licence (if the Hirer is from outside of the EU, a copy of a valid residency permit is required in addition to a copy of the passport).
    • Valid passport (if the Hirer is from outside of the EU, a valid residency permit is required in addition to the copy of the passport).
    • UK photo driving licence
  • Section B
    Colour proof of billing address is also required in the form of either a utility bill (dated within the last 6 months), a council tax letter (annual) or a bank / credit card statement (most recent full-page - can be an on-line print).

Where we are not satisfied with the validity of either the intended hirer or the purpose for which the equipment is being hired, we reserve the right to refuse the hire request. Your statutory rights are not affected, and all documentation provided will be deleted.

The KCCUK reserves the right to refuse the hire at any point where it is not satisfied with the provided information, documents and related checks. The KCCUK also reserves the right to use the Hirer’s information as part of an investigation into any loss of equipment that might occur or in any perceived breach of these Terms & Conditions.

Where the KCCUK are not satisfied with the validity of either the intended Hirer or the purpose for which the equipment is being hired, we reserve the right to ask for a hirer referee, or to refuse hire, we are not obliged to provide explanation for such a decision. Your statutory rights are not affected, and all documentation provided will be deleted. If the KCCUK is unable to contact the Hirer after an order is placed, the KCCUK reserves the right to cancel the application.


Membership & Security Deposit

A one-off security deposit of £50.00 will be required for all new members who wish to hire the Studio and equipment. This membership will run for the remainder of the calendar year from the point your application is first accepted.

The security deposit is a holding deposit, which means that if anything were to happen to the equipment whilst in your care (damage, loss or theft), you will still be liable for the full cost of the equipment.

Payment for missing/damaged equipment and parts/accessories will be held from your deposit. If the cost of missing/damage parts exceed your deposit, the outstanding balance will need to be paid in full immediately.

The appropriate deposit is payable via bank transfer.

Equipment

The equipment and accessories on hire shall remain the absolute property of the KCCUK and the Hirer has no right, title or interest in the equipment, except that it is hired to the Hirer for an agreed period, with the Hirer accepting responsibility for the safekeeping of the equipment whilst in their possession. The equipment must be returned by the Hirer in the condition in which it was received and in good working order.

It is the responsibility of the Hirer to check upon receipt of the equipment that it is in good working order and in an undamaged condition. The Hirer will be held liable for any defects or deficiencies in the equipment that are not noted on the condition report or equipment checklist. Every effort is made to supply all batteries with full charge. However, occasionally there may not be adequate time to fully charge them. We therefore strongly advise checking the state of charge of all batteries upon arriving.

The KCCUK needs to determine the potential use and deployment of hired equipment. This information also helps the KCCUK to know whether appropriate equipment is being hired for the Hirer’s stated purpose and to offer informal advice about equipment that may be needed by the Hirer. However, the KCCUK accepts no responsibility for this advice, nor does it warrant, guarantee or promise that any advice given by its employees, servants or agents as to whether any hired equipment is suitable for the particular or any purpose for which it is or may be required.

It is a condition of hire that the Hirer declares the purpose of hiring the equipment. This is to prevent unacceptable risks being taken with the KCCUK’s equipment. The KCCUK reserves the right to decline a request to hire if it is not satisfied with the declared purpose of the hire. It is therefore more likely for the Hirer to be able to hire if as much detail as possible regarding the equipment’s use is provided.

The Hirer shall not assign, transfer or otherwise part with possession of the equipment during the period of hire without prior written consent of the KCCUK. The Hirer will permit the KCCUK at all reasonable times to inspect the equipment.

Any intention to take the equipment outside of the KCCUK is forbidden. The KCCUK reserves the right to decline hire for any other use.

The Hirer shall take adequate and proper measures to protect the equipment from theft, damage and other risks. The Hirer shall not permit the equipment to be used for any abnormal, immoral or hazardous assignments.


Loss or Damage to Equipment

The Hirer shall be responsible for the safe keeping of the equipment throughout the hire period and shall be liable to the KCCUK for all loss of or damage to the equipment howsoever caused.

The Hirer shall not remove any labels from and/or interfere with the equipment or make any permanent modifications to it. The Hirer will only use the equipment in a safe and correct manner in accordance with the operating manual/instructions which can be made available upon request. The Hirer will notify the KCCUK of any loss or damage to any equipment on hire immediately.

The Hirer shall not carry out or attempt to carry out any repairs to damaged equipment.

The Hirer shall pay the KCCUK all costs for repairs to damaged equipment. The Hirer shall pay to the KCCUK the full cost of replacing any lost equipment, or any equipment, which in the reasonable opinion of the KCCUK is uneconomic to repair, with new equipment of the same or similar specification to that equipment which has been lost or damaged.

An administration fee of £15 will be added to each missing part or damaged item.

Please be aware that you are required to provide all reasonable assistance requested of you and also to provide any documentation reasonably requested.

The KCCUK does not provide memory cards.


Reservations

Bookings cannot be made without the payment of a Security Deposit. Application forms must be via web-booking and verified before any bookings will be confirmed.

In the event that a web-booking is not available at the time of the reservation and the KCCUK is unable to contact the Hirer, the booking will be cancelled.


Cancellation Policy

The Hirer shall have the right to cancel the application by written notice up to 14 working days after confirmation of that application without penalty.

If you want to cancel your membership, you must give us written notice of cancellation (contact details below). In the event of cancellation, we will refund your full security deposit, as long as you have not lost or damaged the hired equipment or studio. If this is the case, we cannot offer you a refund. The refund will take 14 to 30 working days.

Privacy

All information gathered, received or relied upon by the KCCUK will be regarded as private and will not be shared or divulged to third parties. The exception will be in the event that the Hirer fails to return the equipment and an investigation is conducted by the KCCUK, in which circumstances information may, as appropriate, be shared with the police, insurance companies and other interested parties in pursuance of recovering the KCCUK’s equipment.


    FAQs

  • How long I can use the studio?

    There is a single afternoon slot per day, and it is available to use for three hours from 1.30pm to 4.30pm. Please note that you have to leave by 4.30pm even if you arrive late. This is to provide adequate time for the studio to be cleaned.

  • Can I use the Studio at the weekend?

    The studio is only available to use from 1.30 to 4.30 pm during the week.

  • Do I need to wear a mask?

    Yes, face coverings must be worn when in the KCCUK for your safety and the safety of other visitors and staff. Hand sanitiser will be available for you to use.

  • With your camera, can I film outside for a moment and come back to the studio?

    Sorry, all equipment we provide cannot be taken offsite. Please use them in the studio only.

  • I forgot to bring memory cards. Can I borrow a memory card from the Centre?

    Sorry. We do not provide memory cards. Some equipment including a camera does not work without memory cards, so please don’t forget to bring yours.

  • When is the deposit due?

    As a member of the KCCUK Creators programme, you will be able to book slots to use the studio on condition that you have paid the annual security deposit of £50.00.

    A security deposit of £50.00 will be required for all new applicants.

  • When will I receive the deposit back?

    When the calendar year ends or in the event of cancellation of the membership, we will refund your full security deposit, as long as you have not lost or damaged the hired equipment or studio. If this is the case, we cannot offer you a refund.

  • What happens if I lose the equipment or it is stolen?

    You must inform a member of KCCUK staff. If you do not have insurance cover in place you will need to cover the full cost of the lost equipment immediately.
